Using Email to Communicate
Tip #2-04, April 2002

Email allows you to deliver and receive information-anything from your newsletter, to a referral reminder, to some client services, to non-confidential correspondence. It is a handy means for clients and others to get to you too.

Communicating by mail or phone costs more money and requires more time and effort. With email you can create a personalized message and at the click of a button it's waiting in the recipient's email box-no Post Office visits, no busy signals, no voice mail. Special Delivery?-some email systems can track when a message is received and when it is read. Record keeping?-You may log, sort and store messages automatically in some systems more easily than on microfiche. Anything that you can put into data format (email, scans, documents, faxes, etc.) can be easily sorted and stored in your email system, such as MS Outlook™.

You may use plain text or visually appealing graphics and pictures, depending on your style and your market's or client's tastes. Easily re-use the same messages and images without wasting paper, time or money. You can expect a lot of return from building your client email list and using it with the ones who wish to communicate non-confidential ideas and information. It's easy…once you know how…and the learning curve is almost immediate.

  • Lower Acquisition Costs
Building strong relationships today requires attention and speed. Email does this and reduces the acquisition cost of new business.
  • Improve Client Loyalty and Increase Revenues
It's easier to implement and sustain ongoing client communications with a faster, more timely communications system. Clients give more business to advisors who give quicker, better service.
  • Measure Results
Traditional marketing results must be tabulated manually and then reported. This chore kills the important part of most marketing campaigns. Email Marketing can automatically and almost instantly provides valuable real-time data on response rates, bounced emails, eNewsletter subscribers and unsubscribers, and more.
  • Lower Costs
Communicating constantly with your clients and prospects via email costs less. You not only save paper, envelopes and stamps, most of your savings will be in reducing staff time…so you can free them to do more important things than fold, paste and lick. And you appear friendlier by communicating more frequently with everyone.
  • Quality
Adding email to your communications mix demonstrates forward thinking. By using email only with those individuals who agree to it, you also demonstrate how accommodating you are…and that's rare in today's financial world (but not for long).
  • Effective Marketing
Integrating email within your marketing efforts improves total marketing effectiveness.
  • Organize Programs and Events Better
Email allows you more easily to organize events, client appreciation programs and a host of other marketing initiatives. Organize a seminar, then advertise and accept RSVPs and registrations by email. Once you are organized, you can repeat the process with a click of the mouse. You and your staff will be freed up to deal with more important details.

I could go on, but you get the point. In fact, until you decide to opt out, you will continue to get these Marketing Tips. The glory of Marketing Tips for me now is that the administration of this program is completely out of my hands. I approved the set-up and provide the content monthly, and…that's it. I do not see the email list unless I want a report on how many subscribe, how fast the list is growing, how many people actually read it and information like that.

This eNewsletter Service is not merely a turnkey solution for me; it's a chauffeur driven necessity. Outsourcing at its best.

Freedomarketing-the firm that administers Marketing Tips for me-can create, implement, manage and report on your eNewsletter. All you have to do is deal with compliance and approve the finished product. They can provide some content as well.
